What data do we collect?
Our Company collects the following data:
- Personal identification information:
- Name
- Email Address
- Phone number (opt-in)
- We also collect:
- Language Preference
- Orders processed/codes redeemed
- Analytical data so we can understand how you use our website. This includes certain interface interactions such as when you use different buttons. We also track these actions alongside your IP and location, but all analytical data is anonymous. We do not take any information from your conversations or user profile analysis. If this tracking bothers you, you may install an adblocker extension and it will block all anonymous tracking. We plan to build in optional tracking as soon as possible.
How do we collect your data?
You directly provide Roadmap with most of the data we collect. We collect data and process data when you:
- Register online or place an order for any of our products or services.
- Voluntarily register to receive SMS reminders for our reminder functionality.
- Create a new account or sign in with Google using OAuth.
- Voluntarily complete a customer survey or provide feedback through our form or via email.
- Voluntarily subscribe to our mailing list, or complete any of our Google Forms.
- Use or view our website via your browser's cookies.
- Through software such as PostHog, Amplitude, and Firebase, which allow us to track unique users and their interactions with our website and app. These tools help us analyze usage patterns to improve our services. All data collected through these tools is anonymized and used only for performance analysis.
- Through Azure and AWS, which we use for processing and storing specific data, such as phone numbers and other personal information provided during registration or use of our services. Azure also stores your task names and task progress data.
How will we use your data?
Our Company collects your data so that we can:
- Process your order and manage your account.
- Email you with special offers on other products and services we think you might like.
- Text you the reminders you set for yourself through AWS's messaging service.
- Email you with updates on our products.
- Personalize your in-app experiences, such as addressing you by name or tagging feedback sent through the feedback box.
- Analyze user behavior to assess our performance as an app, and subsequently improve our app based on engagement with certain features, such as suggestion button usage. We want to ensure our features are useful and intuitive.
- Although we do not collect the data in your conversations, the conversation and subsequent analysis is shared with Azure OpenAI’s Large Language Model. When you use our services that rely on Azure OpenAI's technology, we send the necessary data to Azure OpenAI's servers to process your request. We do not store this data, and we do not share it with any other third party. As per the Azure OpenAI Privacy policy:
- "Your prompts (inputs) and completions (outputs), your embeddings, and your training data:
- are NOT available to other customers.
- are NOT available to OpenAI.
- are NOT used to improve OpenAI models.
- are NOT used to improve any Microsoft or 3rd party products or services.
- are NOT used for automatically improving Azure OpenAI models for use in your resource.
- Your fine-tuned Azure OpenAI models are available exclusively for your use.
- The Azure OpenAI Service is fully controlled by Microsoft; Microsoft hosts the OpenAI models in Microsoft's Azure environment and the Service does NOT interact with any services operated by OpenAI (e.g. ChatGPT, or the OpenAI API).”

When Roadmap processes your order, it may send your data to, and also use the resulting information from, credit reference agencies to prevent fraudulent purchases. If you purchase our tool through our website, Stripe will process and handle the payment process alongside your sensitive credit card information. How do we store your data?
Roadmap securely stores your data through Firebase’s databases. This information includes: Name, Email Address, Google Profile Picture, Language Preference, and Orders processed/codes redeemed. This information can only be accessed by Roadmap employees when needed, and is properly secured by Firebase rules, which prohibit everyone except for Roadmap employees to access user data other than their own. Additionally, we use Azure to store your task names, task progress, and other related data to help personalize your experience with our app. Azure’s privacy policy can be found here:https://privacy.microsoft.com/en-us/privacystatement
All information used in the creation of our chats, conversations, and user profile is stored entirely on your own device. We do not have access to this information, nor do any third parties aside from Azure OpenAI (see: How will we use your data?). If you wish to delete this information at any time, you may click the ‘reset data’ button on the User Profile page.

Our Company will keep your data in our Firebase and Azure databases until you request its deletion, which you can do so at any time simply by emailing us at contact@planroadmap.com and requesting we do so.
Marketing
If you voluntarily sign up for our mailing list, we may send you marketing material. At this time, Roadmap primarily sends product updates and discounts. If you have agreed to receive emails from us, you may always opt-out at a later date in the footer from any email we send.
What are your data protection rights?
Roadmap would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:
The right to access – You have the right to request copies of your personal data from Roadmap.
The right to rectification – You have the right to request that Roadmap correct any information you believe is inaccurate. You also have the right to request Roadmap to complete the information you believe is incomplete.
The right to erasure – You have the right to request that Roadmap erase your personal data, under certain conditions.
The right to restrict processing – You have the right to request that Roadmap restrict the processing of your personal data, under certain conditions.
The right to object to processing – You have the right to object to Roadmap’s processing of your personal data, under certain conditions.
The right to data portability – You have the right to request that Roadmap transfer the data that we have collected to another organization, or directly to you, under certain conditions.
